It is our belief that a caring heart is needed for this industry. As the Scheduling Coordinator you will develop caregiver's schedules to meet the needs of clients. This requires closely working with the Home Care Coordinator to understand clients needs in both terms of schedule and skills. You will also have to work closely with HR Coordinator to understand the skills and personalities of our growing caregiver staff. You will get to know our clients and caregivers very personally as you work with each one to make matches and schedules that truly enrich the lives of each of our clients. This position requires strong problem solving and interpersonal skills as the schedule is an ever changing and evolving aspect of senior care. Each week will be different and when done well you will go home in the evening knowing you have helped blessed the life of seniors in our community that truly need the help. We are not looking for a good candidate for this job, but for the right candidate to join our team in this exciting era of growth we are entering. Could this be you?Objective:The Scheduling Coordinator (aka Chaos Coordinator) is expected to perform a variety of conversation-oriented, administrative and documenting duties. You will be expected to take actions to execute all scheduling activities in order to provide the highest quality of service to our team and clients. These activities include the following critical metrics:

  • Maintains client schedules two weeks in advance for 95% of clients
  • Maintains updated and accurate Care Pro availability and personnel information
  • Utilizes 75% of Care Pro availability each week
  • Uses no more than 3% of total hours per week as un-billable overtime
  • Submits accurate client invoices and care logs within 14 days of completed billing cycle to LTC insurance companies.Primary Responsibilities:

    • Fields Client Inquiries and schedules Care Consultations
    • Enters and maintains accurate client and Care Pro records in the operating system
    • Resolves client and Care Pro concerns or problems and communicates with owner or other staff members as appropriate
    • Supports Human Resource team with all aspects of Care Pro Engagement.
    • Works in partnership with the HR Department and Sales Department to coordinate Care Pro schedules with an emphasis on creating high quality matches and extraordinary relationships
    • Conducts Care Pro supervision including regular performance conversations, accountabilities and problem resolution.
    • Monitor, mediate, and log all client and Care Pro activity utilizing the software system
    • Maintains shift and care log accuracy for billing and Long Term Care (LTC) insurance purposes
    • Assists with billing processing and submits LTC documents (invoices, care logs, etc) for clients every billing cycle
    • Ensures Home Instead standards are met and upheld
    • Maintains regular attendance at the office to execute job responsibilities
    • Serves in emergency on-call phone management rotation
    • Demonstrates open and effective communication with owner, Key Players and Care Pros
    • Participates in quarterly Care Pro meetings
    • Performs any and all other functions and responsibilities deemed necessary for the successful operation of a Home Instead franchise officeEducation/Experience Requirements:
      • College degree preferred.
      • One year experience in home care, health care or senior-related industry strongly preferred, an equivalent combination of education and work experience may be considered.
      • Must possess a valid driver's license.Knowledge, Skills and Abilities:
        • Must have an understanding of and uphold the policies and procedures established by Buckskin 903 Ventures, LLC, d.b.a. Home Instead, an independently owned and operated franchise of Home Instead, Inc., an Honor Company.
        • Must demonstrate excellent oral and written communication skills and the ability to listen effectively
        • Must have the ability to work independently, maintain confidentiality of information and meet deadlines
        • Must have knowledge of the senior care industry
        • Must demonstrate effective interpersonal skills as well as sound judgment and good decision-making skills
        • Must demonstrate discretion, integrity and fair-mindedness consistent with company standards, practices, policies and procedures
        • Must have the ability to organize and prioritize daily, monthly and yearly work
        • Must be able to establish good working relationships with management, colleagues, franchise owners and their staff
        • Must present a professional appearance and demeanor
        • Must be able to operate office equipment successfully
        • Must be patient and congenial on the telephone
        • Must have computer skills and be proficient in Word and Excel
        • Must be able to work evenings and weekends as requiredCompensation:
          • Expected salary 40k-45k a year
          • 10 paid holidays each year
